Virtual SAM is owned and operated by The Sur-Ryl Group LLC ("Virtual SAM," "we," "us," or "our"). This Privacy Policy explains how we collect, use, and share information when you visit virtualsam.com, work with us, use the Virtual SAM platform, or otherwise interact with us (together, the "Services").
Virtual SAM is a business tool. The businesses we work with are our "Customers," and they use Virtual SAM to communicate with their own contacts, leads, and clients. Section 5 explains how we handle that information.
1. Information we collect
Information you give us. When you book a call, fill out a form, or contact us, we collect information such as your name, email address, phone number, business name, business address, and the content of your messages. If you pay us online, our payment processor collects your payment card details. We receive limited billing information, such as the card type, last four digits, and expiration date, and we don't store full card numbers.
Information collected automatically. When you visit our website or use the platform, we and our service providers automatically collect information such as your IP address, browser and device type, operating system, pages viewed, links clicked, referring website, and the dates and times of your visits. Some of this is collected through cookies and similar technologies, described in Section 8.
Information from third parties. If you connect a third-party account to Virtual SAM, such as a Google, Facebook, Instagram, or LinkedIn account, a calendar, or a payment provider, we receive information from that service as permitted by your settings with it. We may also receive information from our payment processor, analytics providers, and advertising partners.
2. How we use information
We use the information we collect to:
- Provide, operate, maintain, and secure the Services
- Create and manage accounts, and process payments for our services, platform fees, and usage charges
- Respond to questions and provide customer support
- Send account, billing, security, and service messages
- Send marketing about Virtual SAM and related services from our team, which you can opt out of at any time
- Understand how people use the Services so we can improve them and build new features
- Detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms of Service
- Comply with legal obligations and enforce our agreements
3. Text messaging
If you give us your mobile number and opt in to text messages, we'll use it to send the types of messages you agreed to receive, such as replies to your inquiry, account and appointment notifications, or, if you opted in separately, marketing messages. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Sharing information with subcontractors that support our services, such as customer service and message delivery, is permitted. All other categories of sharing in this policy exclude text messaging originator opt-in data and consent. This information will not be shared with any third parties.
4. How we share information
We don't sell your personal information. We share it only in the ways described here:
- Service providers. Companies that host and run the platform, process payments, deliver calls, texts, and emails, power AI features, provide analytics, and support our operations. They may use your information only to provide services to us.
- Integrations you choose. When you connect a third-party service, we share information with it as needed to make that connection work. Its own privacy policy governs what it does with that information.
- Our team and affiliates. Sur-Ryl Marketing and other businesses under The Sur-Ryl Group LLC may access information when needed to support you, for example when our team sets up or manages your account.
- Legal and safety reasons. When we believe in good faith that disclosure is needed to comply with the law or legal process, enforce our Terms, protect the rights, property, or safety of Virtual SAM, our Customers, or others, or detect and prevent fraud or security problems.
- Business transfers. If we're involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction. We'll take reasonable steps to let you know.
- With your consent. In other situations, when you ask us to or agree to it.
We may also share aggregated or de-identified information that can't reasonably be used to identify you.
5. Information our Customers manage in Virtual SAM
Our Customers upload and collect information about their own contacts, such as names, phone numbers, email addresses, conversation history, call recordings, appointment details, and payment records ("Customer Data"). We process Customer Data on our Customers' behalf and according to their instructions, as a service provider. We don't sell Customer Data, and we don't use it to market our own services to our Customers' contacts.
Each Customer is responsible for its own privacy practices, including giving notice to, and getting any required consent from, the people it contacts through Virtual SAM. If you're a contact of one of our Customers and have questions about your information, please reach out to that business directly. If you contact us instead, we'll refer your request to the Customer and help them respond as needed.
6. AI features
Some Virtual SAM features use artificial intelligence, such as the AI receptionist, the AI chat assistant, and content tools. When you use these features, the information needed to produce a response, such as a message, call audio, or a transcript, is processed by our AI service providers. Calls handled by AI features may be recorded and transcribed. Customers who use these features are responsible for giving any notices and getting any consents the law requires, including for call recording.
7. How long we keep information
We keep personal information for as long as your account is active and as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. When you close your account, we delete or de-identify your information within a reasonable time, except where we need to keep it for those reasons. Copies in backups may take longer to cycle out.
8. Cookies and similar technologies
We and our service providers use cookies, pixels, local storage, and similar technologies to keep you signed in, remember your preferences, understand how the Services are used, and measure and improve our marketing. Some are set by third parties, such as analytics and advertising providers, which may collect information about your activity over time and across different websites.
Most browsers let you block or delete cookies. If you do, some parts of the Services may not work properly. To opt out of Google Analytics, you can install the Google Analytics opt-out browser add-on. Because there isn't yet a common standard for Do Not Track signals, our website doesn't currently respond to them.
9. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including encryption in transit. No method of transmitting or storing data is completely secure, so we can't guarantee absolute security. You're responsible for keeping your password confidential and for activity under your account.
10. Your choices and rights
Your account information. You can review and update much of your account information in your account settings. You can also ask us to access, correct, or delete your personal information by emailing [email protected]. We'll verify your identity before responding, and we may keep certain information where the law requires or allows it.
Marketing emails. You can unsubscribe using the link in any marketing email. We'll still send account, billing, and service messages.
California residents. California law may give you the right to ask what personal information we've disclosed to third parties for their direct marketing purposes. We don't share personal information with third parties for their direct marketing purposes. Depending on how the law applies to us, you may also have the right to know what personal information we collect, use, and disclose; to ask us to delete or correct it; to opt out of the sale or sharing of personal information; and to be free from discrimination for exercising these rights. To make a request, email [email protected].
People in the European Economic Area, United Kingdom, and Switzerland. If data protection laws in these places apply to you, you may have the right to access, correct, delete, restrict, or object to our processing of your personal data, to data portability, and to withdraw your consent at any time. We process personal data to provide the Services you request, for our legitimate business interests, with your consent, and to comply with the law. You also have the right to file a complaint with your local data protection authority.
11. Children
The Services are built for businesses and aren't directed to anyone under 18. We don't knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we'll delete it.
12. International users
Virtual SAM is based in the United States, and we and our service providers process information in the United States and other countries. Data protection laws in those places may be different from the laws where you live.
13. Links to other websites
The Services may link to or connect with websites and services we don't control. Their own policies govern their privacy practices, so we encourage you to review them.
14. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we'll change the "Last updated" date at the top of this page. If we make material changes, we'll let you know by email or through the Services before they take effect.
